Privacy Policy

Who we are. Golden Bagel (ABN pending) provides tennis coaching services, an online booking system and a student portal ("Practice Hub"). This policy explains what personal information we collect, why, how we hold it, and your rights.

What we collect. Account and contact details (name, email, mobile; for junior students, the parent/guardian's details and the parent–child relationship). Booking and payment records (sessions booked, attendance, lesson pack balances — card payments are processed by our payment provider; we never see or store your full card number). Coaching records (skill level, goals, coach observations, lesson summaries and practice plans published to your Practice Hub). Optional lesson capture (brief coach notes or short voice memos used to draft your lesson summary — see AI-assisted summaries below).

Why we collect it. To deliver and improve coaching, manage bookings and payments, publish your practice plans, send operational messages (confirmations, reminders, cancellations), and — only with your consent — marketing about programs and clinics.

AI-assisted lesson summaries. Coaches may use an AI tool to turn their brief notes into a draft lesson summary. Drafts are always reviewed and approved by your coach before you see them. Raw notes and voice memos are not published, are kept only as long as needed to produce the summary, and are not used to train AI models. You (or a parent/guardian) can opt out at any time without affecting your coaching.

Children. Junior accounts are created and controlled by a parent/guardian, who consents to the collection of the child's information. Each family can only see its own child's information. We collect the minimum information needed to coach safely and well.

Storage and security. Information is stored with reputable providers using encrypted connections, role-based access and row-level access controls, hosted in Australia where available. Coach-only notes are never visible to students or parents.

Disclosure. We do not sell personal information. We share it only with the service providers that run this platform, and where required by law.

Retention. Booking and payment records are kept as required by tax law. Coaching records are kept while you are an active student and for a reasonable period after, then deleted or de-identified. You may request deletion earlier.

Your rights. You can request access to or correction of your information, withdraw marketing consent, or make a privacy complaint by contacting us. If unresolved, you may complain to the OAIC (oaic.gov.au).
